Healthcare Marketing Analytics and Reporting

Healthcare Marketing by Velocity designs and maintains measurement for practices and healthcare organizations: GA4, Google Tag Manager, call tracking, CRM connections and dashboards. The aim is a clear, privacy-aware view of which channels produce patient inquiries, appointments and return on marketing spend.

Where better measurement adds clarity

Healthcare marketing analytics that every channel can rely on

Practices invest in search, ads, social, email and their website, then often judge the results by impressions, clicks or a general sense of how busy the phones are. Reliable measurement changes the conversation. When calls, forms and booking requests are tracked by source and connected to what happened next, leaders can see which services and channels are contributing and shift budget with confidence.

Healthcare adds a layer that other industries do not face. Some of the most common tracking practices on consumer websites are not appropriate on pages where patients log in, schedule visits or describe symptoms. A healthcare measurement plan answers two questions together: what do we need to know to manage marketing well, and what should never leave the practice.

The result is usually simpler than people expect. A small set of trusted metrics, defined the same way every month and reviewed alongside scheduling data, tends to be more useful than a large dashboard nobody reads. Our guide to calculating patient acquisition cost shows how one of those core metrics is built.

Reporting

Healthcare marketing dashboards built around patients

Dashboards show qualified inquiries, booked appointments and cost per acquired patient by channel, with commentary that explains what changed and what we will do next.

What our analytics and reporting service includes

We build the measurement layer that sits under every marketing channel. Each component is configured for your platforms and reviewed for privacy.

  • GA4 configuration

Property setup, data streams, key events, data retention, internal traffic filters and settings reviewed against your privacy approach.

  • Google Tag Manager

A documented container with naming standards, page level rules for where each tag may run and version control for changes.

  • Call tracking

Source level call tracking with number pools or static numbers, call outcome tagging and vendor selection that considers Business Associate Agreements where required.

  • Form and booking events

Measurement of form submissions and booking steps that records the action without capturing what the patient typed.

  • CRM and scheduling connections

Links between marketing sources and your CRM or practice management reports, so inquiries can be compared with booked and completed visits in aggregate.

  • Attribution

A practical attribution approach that combines platform data, analytics and self reported source, with clear notes on what each can and cannot tell you.

  • Dashboards

Executive and channel dashboards in Looker Studio or your preferred tool, built on agreed metric definitions.

  • Marketing ROI measurement

Cost per inquiry, cost per booked visit and patient acquisition cost by channel and service, using finance approved assumptions.

  • Tracking audits

Periodic reviews of every tag, pixel and script on the site to confirm each one is still needed and correctly configured.

Tracking healthcare websites without sharing patient data

The U.S. Department of Health and Human Services has issued guidance on the use of online tracking technologies by HIPAA covered entities and business associates. It distinguishes between authenticated pages, such as patient portals, where tracking can access protected health information, and public pages, where HIPAA generally applies in narrower situations such as appointment booking or symptom checking. A federal court vacated part of that guidance in 2024, but the framework remains useful for deciding where tags belong.

Google Analytics has its own expectations. Google asks that no personally identifiable information be sent to Analytics and notes that URLs and page titles are a common way it leaks in by accident. On a healthcare site, query strings and form confirmation pages deserve particular attention.

A HIPAA-conscious measurement plan therefore includes a tag inventory, page level rules, careful event design, vendor review and documentation your compliance lead can evaluate. Velocity provides marketing guidance on this work, not legal advice, and configuration choices should be confirmed with your own counsel.

Privacy-aware measurement basics

  • Tag inventory across every page template
  • No tags on portals or sensitive forms
  • No form contents or reasons for visit in events
  • Clean URLs and page titles
  • Vendor review and agreements where required
  • Aggregate outcome reporting

How we build a measurement program

  1. Discovery

We agree on the business questions: which services to grow, what counts as a qualified inquiry and how the team will use reports.

  2. Tracking audit

We inventory every tag, pixel, form tool, chat tool and call tracking setup and note what each one collects.

  3. Measurement plan

We write a plan that defines each metric, each event, where tags may run and how sources are recorded, then review it with your team.

  4. Implementation

We configure GA4, Tag Manager, call tracking and platform conversions, test them and document the setup.

  5. Connect outcomes

Where systems allow, we connect inquiries to booked and completed visits in aggregate so return on spend can be estimated.

  6. Dashboards and review

We build dashboards, walk leaders through them and hold a monthly review focused on decisions rather than data.

Metrics that belong on a healthcare marketing dashboard

Each metric is defined in writing so it means the same thing every month.

Qualified inquiries by source
Calls, forms and booking requests that meet agreed criteria, grouped by channel.
Booked visit rate
The share of inquiries that schedule, measured in aggregate.
Cost per booked visit
Marketing spend divided by booked visits attributed to that spend.
Patient acquisition cost
Total acquisition spend divided by new patients in the period.
Call answer rate
The share of marketing calls answered by staff, a common area for operational gains.
Return on marketing spend
Estimated value of new patient visits compared with spend, using assumptions approved by finance.

Choosing an attribution approach

No single model tells the full story. We combine sources and explain where each one is reliable.

Choosing an attribution approach
ApproachWhat it showsLimits
Platform reported conversionsWhat each ad platform credits to itselfPlatforms often overlap and may count the same patient
GA4 attributionSources across channels on the websiteMisses offline steps and visitors who decline tracking
Call tracking sourceWhich channel prompted a phone callDepends on number placement and setup
Self reported sourceHow patients say they heard about youDepends on consistent front desk capture
Aggregate outcome matchingInquiries compared with booked visitsRequires reliable CRM or scheduling data

FAQ

Analytics and reporting FAQs

What is healthcare marketing analytics?

It is the measurement of how marketing channels produce patient inquiries, appointments and revenue, built with the privacy expectations that apply to healthcare websites and data.

Is GA4 safe to use on a healthcare website?

Many practices use GA4, but configuration matters. We keep it off authenticated pages and sensitive forms, avoid sending personal information in URLs, titles or events, and document the setup for your compliance lead. Whether it fits your situation is a decision for your organization and counsel. This is marketing guidance, not legal advice.

Can you connect marketing data to our EHR?

We generally avoid direct connections between advertising tools and clinical systems. Where outcome data helps, we prefer aggregate reports from scheduling or practice management systems that show volumes by source without exposing individual records.

What dashboard tools do you use?

Looker Studio is common because it connects easily to Google platforms, but we can work with the tools your organization already uses. The metric definitions matter more than the tool.

How do you measure marketing ROI for a practice?

We compare spend with qualified inquiries, booked visits and new patients by channel, then estimate value using assumptions your team approves. The acquisition cost calculator shows one starting point.

Do you provide reporting for channels another agency manages?

Yes. Independent measurement can be useful when several vendors are involved, because every channel is judged with the same definitions.
