Email Marketing
Healthcare Email Marketing That Keeps Patients Connected
Healthcare Marketing by Velocity plans and produces email programs for medical practices and healthcare organizations: patient newsletters, recall reminders, reactivation campaigns and service announcements. Each program is built with consent, sender requirements and patient privacy considered from the start.

- Patient newsletters with useful, reviewed content
- Recall and reactivation campaigns tied to scheduling
- Consent, unsubscribe and privacy built into setup
Where your patient list adds value
Your existing patients are your most valuable audience
A practice already has a relationship with thousands of people who chose it for care. Many of them are due for a preventive visit, would benefit from a service they do not know the practice offers, or would gladly refer a family member if reminded. Email is one of the most direct and economical ways to stay in touch with them.
Well planned healthcare email marketing does three jobs. It keeps patients informed about the practice: new providers, new locations, updated hours and services. It supports continuity of care through recall and reactivation messages that prompt patients to schedule. And it builds trust over time with helpful, clinically reviewed content that patients actually want to open.
Because the audience is people who already know you, email often complements new patient acquisition rather than competing with it. Retention and referral growth from existing patients can make every acquisition dollar go further.

What our healthcare email marketing service includes
Programs range from a single monthly patient newsletter to a coordinated set of campaigns across locations and service lines.
Patient newsletter
A recurring newsletter with practice news, seasonal health reminders and educational content, written for patients and reviewed by your clinical team.
Recall campaigns
Messages that prompt patients who are due for an annual exam, screening or follow up visit to schedule, coordinated with your recall process.
Reactivation campaigns
Respectful outreach to patients who have not visited in a defined period, inviting them back and making scheduling simple.
Service and location announcements
Launch emails for new providers, services and locations, segmented to the patients most likely to find them relevant.
List and consent management
Clean subscriber lists, documented consent sources, working unsubscribe links and suppression lists maintained across tools.
Templates and deliverability
Accessible, mobile friendly templates in your brand, with sender authentication and list hygiene that support inbox placement.
Consent, sender rules and privacy in patient email
Email to patients carries obligations that general retail email does not. Three areas shape how we build every program.
Sender rules. The FTC's CAN-SPAM compliance guide describes requirements for commercial email, including accurate header information, subject lines that are not misleading, a valid physical postal address, a clear way to opt out, and honoring opt-out requests promptly. We configure templates and sending tools so those elements are present by default.
HIPAA considerations. HHS guidance on marketing under the HIPAA Privacy Rule distinguishes communications about a provider's own health related services, and treatment communications such as refill reminders, from marketing that generally requires written patient authorization. Where a campaign sits in that framework depends on its content and who benefits, so we review campaign types with your compliance lead before launch.
PHI caution. A patient list combined with appointment or condition information can be protected health information. We keep message content general, avoid naming conditions or treatments in subject lines and previews, segment carefully, and prefer email platforms that will sign a Business Associate Agreement when patient data is involved. This is marketing guidance, not legal advice.
Built into every program
- Accurate sender and subject line details
- Physical address in every commercial email
- Clear, working unsubscribe option
- No conditions or treatments in subject lines
- Segments designed with minimum necessary data
- Vendor BAAs evaluated with your compliance lead
Find out how much repeat demand your patient list could bring back
Request a marketing assessment. We will review where email marketing stands today, what competitors in your market are doing and which improvements are likely to matter first.
How we deliver email marketing
We set the foundation before sending volume, because list quality and consent records are hard to repair after the fact.
Review lists and consent
We look at where your email addresses come from, how consent was captured, how unsubscribes are handled and which systems hold patient contact data.
Select or configure the platform
We evaluate your current email tool or recommend one, with attention to sender authentication, accessibility, integrations and whether the vendor will sign a Business Associate Agreement where needed.
Plan the calendar
We build a twelve month plan that balances newsletters, recall timing, seasonal topics and announcements, with clear goals for each send.
Write, design and review
We draft copy and design templates, and clinical content goes to your designated reviewer before anything is scheduled.
Send and coordinate
We schedule sends and coordinate with your front desk so recall and reactivation campaigns arrive when the team is ready to handle calls and bookings.
Measure and refine
We report on delivery, engagement and scheduling actions, then adjust subject lines, timing and segments based on what patients respond to.

How we measure healthcare email marketing
Opens and clicks show engagement. The measures that matter most connect email to scheduling.
- Delivery rate
- The share of sent messages accepted by recipient mail servers, a sign of list health.
- Click rate
- The share of delivered emails where a recipient clicked a link, a more reliable engagement signal than opens alone.
- Scheduling actions
- Calls, booking starts and appointment requests that follow an email, tracked in a privacy-aware way.
- Recall completion
- The share of patients who received a recall message and then scheduled the due visit, measured with your practice data.
- Unsubscribe and complaint rate
- Opt-outs and spam complaints per send, watched closely to keep content relevant and frequency comfortable.
- List growth
- New subscribers with documented consent, by source.
Email marketing and marketing automation: which fits your need
The two services work together. The difference is mainly in scope.
| Email marketing | Marketing automation | |
|---|---|---|
| Focus | Newsletters and planned campaigns to patients | Workflows, lead routing, CRM and nurture logic |
| Typical trigger | A calendar date or announcement | An action, such as a form submission or missed call |
| Audience | Existing patients and subscribers | New inquiries, referrals and patients in a defined stage |
| Where to go next | You are here | Healthcare marketing automation and CRM workflows |

FAQ
Email marketing FAQs
Can a medical practice send marketing emails to patients?
Often, yes, within limits. Commercial email has to meet CAN-SPAM requirements, and HIPAA treats some communications, such as information about the practice's own services, differently from marketing that requires authorization. Your compliance lead should confirm how each campaign type is classified. This is not legal advice.
What should go in a patient newsletter?
Practice news such as new providers, services, locations and hours, seasonal health reminders, short educational articles reviewed by your clinicians, and a clear way to schedule. Content should be useful even to a patient who does not need an appointment this month.
Do we need a Business Associate Agreement with our email platform?
If the platform stores or processes protected health information on your behalf, it is likely acting as a business associate, and HHS guidance describes the need for a written agreement. Many general marketing platforms do not sign one, which affects what data can be used. We help evaluate options with your compliance lead.
How often should a practice email patients?
Many practices start with a monthly newsletter plus recall and announcement emails as needed. The right frequency depends on how much useful content you have and how patients respond, which we watch through engagement and unsubscribe trends.
Can you segment emails by condition or treatment?
We approach that cautiously. Segmenting by diagnosis or treatment uses sensitive information and can raise HIPAA questions. We generally segment by broader factors such as location, provider or visit timing, and review any condition based campaign with your compliance lead first.
Do you also handle text message campaigns?
Text messaging has its own consent rules and is usually planned as part of automated patient workflows. We can coordinate both so patients receive a consistent, not excessive, set of messages.
